Syncing Your Outlook and ShootQ Calendars

Note: This article refers to the Office 365 version of Outlook.

You can sync your Outlook and ShootQ calendars so that events on one calendar will appear on the other. You can sync it one way (ShootQ events appearing in Outlook) or the other way (Outlook events appearing in ShootQ). Or you can sync it both ways.

Connect Your ShootQ Calendar to Your Outlook Calendar

To have items from your ShootQ calendar appear on your Outlook calendar, navigate to Settings > Calendar & Email.

Then click the "New Calendar Feed" button. This will open up a pop-up modal to configure your feed.

First, give your feed a name so that you can identify it later.

Secondly, set how far back you would like the feed to go. 

For instance, if the current day is January 1, 2018 and I set the feed for events in the past 1 year, only events from the previous year (2017) and all future events will appear in Google. 

The feed will always show events from a year back from the current date. So, in my example, on June 1, 2018 my Outlook calendar will display all events from June 1, 2017 to the current day (and, of course, it will show events that are scheduled in the future, too). Each event older than a year will disappear from the Apple calendar.

This feature is helpful if you have a lot of data in your calendar feed and just want to limit it to a certain time frame. You always edit these settings at a later point.

Next, determine what Events will appear in the feed. For example, if select all of these Events, they will all appear on the Outlook calendar.


Moreover, you create feeds based on who is assigned to a job under Personnel filters. In the example below, I'm creating a feed just for the jobs assigned to Stan Ford.


You can also create a calendar feed based on just booked events, leads, and standalone events (events without a job).


Other Personal Calendars can also be added to the feed. For instance, if you have an Apple calendar feeding into ShootQ, you can also have those events show up in Outlook, too.

When you've chosen what types of filters will be used for your calendar feed, click the "Save" button. A feed URL is created.

Copy the link and log into your Office 365 calendar. Under the "Add Calendar" drop down menu, select "From Internet".

Then paste the ShootQ feed url into the appropriate field and give the calendar a name.

After saving, the calendar will then appear under the "Other Calendars" section and the events and jobs from ShootQ will appear in your Outlook calendar. Whenever these events are updated in ShootQ, they will also update in Outlook.

Connect Your Outlook Calendar to Your ShootQ Calendar

You can also have the events and appointments on your Outlook calendar appear on your ShootQ calendar. 

In your Office 365 account, click the gear icon in the upper right corner of Outlook on the web. Then select 'Calendar' under 'Your App Settings'. 

Your calendar options should appear on the far left. Select 'Calendar Publishing' under 'Shared Calendars'.

Then select your calendar in the drop down list and set the permissions to "Limited Details". Then click 'Save'.

Copy the ICS link (do not copy the HTML link).

In ShootQ, navigate to Settings > Calendar & Email. Click the 'Connect A Personal Calendar' button and paste the Outlook URL into the appropriate field. Give your calendar a name and color code it.

The calendar will then appear in your list under the Personal Calendars section the Settings. You can always Edit or Disconnect it here.

Whenever you add or modify an event on your Outlook calendar, it will also update in ShootQ.
